Job Description


General Duties and Leadership Strategy:

  • Oversee booking of all facilities
  • Oversee researching and placing all domestic and overseas orders
  • Oversee distribution of orders
  • Oversee booking bus, train and plane transport for all student trips
  • Oversee distribution of all trip communications to students and parents
  • Supervise all administration, reception and facilities staff
  • Recruit and support new administration, reception, and facilities staff where necessary
  • Assess and develop all staff reporting to the Administration Manager
  • Supervise and evaluate outside contractors, e.g. cleaning, security, photocopiers, waste management etc.
  • Ensure health and safety is up to standard across all sites and report to H&S manager if concerns are found
  • Manage fixed assets, supplies and equipment
  • Build close professional relationships between departments within the school

Administrative Management:

  • Lead day to day maintenance and supervision of all school vehicles
  • Assist Director of Operations and Bursar with all contract negotiations, e.g. school buildings, PE facilities, off-site locations
  • Support Primary and Secondary school operations wherever necessary
  • Liaise with external vendors on all administrative and facility issues
  • Liaise with police, ward office and other local authorities as required
  • File Tokyo office and ward office paperwork concerning student numbers, premises and tuition increases

Facility and Property Management:

  • Lead day to day maintenance of school campus
  • Plan capital improvements to school property
  • Assist the Director of Operations with school expansion plans

Financial Management:

  • Create and monitor the administration yearly operations budget
  • Assist Director of Operations and Bursar with CAPEX estimates and expenditure
