Job Description


The company is a major IT service company that supports Tokyo Olympic/Paralympic 2020.

The company is hiring an Operational Staffing Assistant.

Job duties, including but not limited to:

Assist support staff in terms of staffing operations such as contact & shift schedule data maintenance, training set up, procurement of operational needs such as mobile, accreditation and transport


  • Support training management team to deliver training as per training plans
  • Support trainers to set up individual training session in terms of facilities bookings, inviting, recording attendance, collecting feedback from participants
  • Support training management team in e-learning administrative tasks
  • Support creating training operation related documents
  • Maintain the training matrix up to date for each supporting role (Games Time) Job Positions

Shift & Contact data maintenance

  • Consolidate, check and register shift data from various teams
  • Maintain shift data up-to-date in case of changes in plan, such as swapping an individual´s shift or shift time
  • Maintain the contact data up-to-date with the latest shift assignment
  • Support and maintain the requirement list for allocation of resources to each role up to date to ensure that they have the right tools to perform their activities based on the role requirements.


  • Support to procure and recollect of required items for operational support, such as mobiles, accreditation or uniforms
  • Support to arrange logistics for operational support, such as transportation
  • Support and work together with the service desk team to procure required system accounts and privileges for operational support


  • Conduct document administrative tasks such as “policies and procedures matrix upload”
  • Assist communication between customers and own team
  • Assist documentation, meeting minutes taking

All these tasks should be focused on:

  • Ensuring the success of all Core Operations Team activities and objectives, and the projects it supports
  • Reusing, as much as possible, existing knowledge and material from previous projects
  • Enhancing and/or supplementing the existing Atos material for use in future Events
